Executive, Program Management Office

Position Purpose & Summary:

A Project Management Executive is responsible for planning, executing, and finalizing projects within budget and deadlines. This role involves defining project scope, allocating resources, monitoring progress, managing risks, and ensuring quality control. The executive serves as the primary communication link between stakeholders and project teams, maintaining comprehensive documentation and providing regular updates. They lead and motivate teams, fostering collaboration and productivity, while also implementing lessons learned to enhance future project performance.

Primary Duties & Responsibilities:

Program Leadership:

  • Provide strategic leadership and direction for all aspects of the program, including planning, execution, and delivery.
  • Define the program vision, goals, and objectives, and communicate them effectively to the program team and stakeholders.

Stakeholder Management:

  • Identify and engage with key stakeholders at all levels, including executives, sponsors, clients, and team members.
  • Build and maintain strong relationships with stakeholders, addressing their concerns and ensuring alignment with program objectives.

Program Planning and Coordination:

  • Develop comprehensive program plans, including scope, schedule, budget, resources, and risk management strategies.
  • Coordinate activities and dependencies across multiple projects and teams within the program, ensuring alignment with overall objectives.

Resource Management:

  • Allocate resources effectively to support program activities, including personnel, budget, equipment, and facilities.
  • Monitor resource utilization and performance, making adjustments as needed to optimize efficiency and meet program goals.

Risk Management and Issue Resolution:

  • Identify, assess, and prioritize risks and issues affecting program delivery, and develop mitigation strategies and contingency plans.
  • Proactively address issues as they arise, escalating to appropriate stakeholders when necessary to ensure timely resolution.

Quality Assurance and Compliance:

  • Establish quality assurance processes and standards to ensure that program deliverables meet defined requirements and quality expectations.
  • Monitor program performance against predefined metrics and KPIs, implementing corrective actions as needed to maintain quality and compliance.

Communication and Reporting:

  • Communicate program status, progress, risks, and issues to stakeholders through regular updates, reports, and presentations.
  • Facilitate effective communication and collaboration among program team members, fostering a positive and productive working environment.

Change Management:

  • Anticipate and manage changes to program scope, schedule, and resources, assessing impacts and adjusting plans accordingly.
  • Facilitate change management activities, including communication, training, and stakeholder engagement, to support successful adoption of program outcomes.

Continuous Improvement:

  • Conduct regular program reviews and evaluations to assess progress, identify lessons learned, and drive continuous improvement initiatives.
  • Solicit feedback from stakeholders and team members to identify areas for enhancement and implement best practices for future programs

Relevant Work Experience

  • 1-2 years related working experience

Qualifications

Bachelor’s degree or a related field.

Technical/ Functional Skills

  • Microsoft Project

Soft Skills:

  • Excellent problem-solving skills and attention to detail, with the ability to troubleshoot and resolve complex technical issues.
  • Effective communication skills, with the ability to collaborate with cross-functional teams and convey technical concepts to non-technical stakeholders.
  • Ability to work independently and manage multiple projects simultaneously, prioritizing tasks to meet deadlines.
